What Is Permit to Work (PTW) Digitization — And Why Paper Permits Are a Risk

A Permit to Work (PTW) system exists to make sure high-risk work — hot work, confined space entry, work at height, electrical isolation — only happens after the right checks and approvals. Most sites in India still run this on paper. It works, until it doesn't.

Where paper permits break down

  • Approval bottlenecks: a permit sits on a desk waiting for a signature while a crew stands idle or, worse, starts work anyway.
  • No live visibility: a site manager can't see, at a glance, how many hot work permits are active right now across all sites.
  • Expiry slips through the cracks: permits expire but nobody's watching the clock, and work continues past the authorised window.
  • Audit trail gaps: during an incident investigation, reconstructing who approved what, and when, from a stack of paper is slow and error-prone.

What digital PTW changes

A digital PTW workflow routes each permit through issuer, reviewer and approver roles automatically, with e-signatures replacing wet-ink ones. Checklists are built into the form itself — a hot work permit can't be submitted without the fire watch and gas test fields being filled in.

The two features that matter most

In our experience rolling out PTW digitization, two features drive the biggest safety improvement:

  1. Automatic expiry alerts — the system flags a permit before it lapses, instead of relying on someone remembering.
  2. A live permit register — anyone with access can see every active permit, on any site, in real time.

Is it a big lift to switch?

Not as much as most teams expect. Existing permit formats and approval chains can usually be mapped directly into a digital workflow, and most sites are fully running within a few weeks — not months.
